The Recruitment and Selection Process, Stage by Stage

Workforce Planning

Before a role is advertised, someone has to establish that it should exist. Workforce planning compares the work the organization has committed to against the people available to do it, and decides whether the gap is closed by hiring, redeploying, automating, or not at all. Skipping this stage is how organizations end up recruiting for a role that duplicates one they already have.

Sourcing and Attraction

Sourcing is everything done to put the role in front of suitable people: the job description, the posting, employee referrals, direct outreach, agency briefs, and the employer brand that makes any of them work. The measure of this stage is not applicant volume but the share of applicants who are actually qualified — a posting that draws 400 unsuitable applications has made the next stage harder, not easier.

Screening and Shortlisting

Screening reduces the pool to those worth a conversation, usually through resume review, a short questionnaire covering the non-negotiable requirements, and often a brief call. Consistency matters more than speed: applying the same criteria in the same order to every applicant is both the fairest approach and the only one that leaves a defensible record if a decision is later challenged.

Interviewing and Assessment

Interviews test what a resume claims. Structured interviews — the same questions, in the same order, scored against a defined rubric — predict job performance considerably better than unstructured conversation, and they make candidates comparable with one another. Work samples and skills tests measure the job directly and are worth more than any question about hypothetical behavior.

Selection and Offer

Selection is the decision itself: comparing scored candidates, completing reference and background checks, and agreeing the offer. This is the stage where good processes lose people — a slow approval chain or a package settled late loses candidates who hold other offers. Decide the salary band before the first interview, not after the final one.

Onboarding

Recruitment does not end at acceptance. Onboarding turns a signed offer into a productive colleague: equipment and access ready on day one, a named point of contact, and clear expectations for the first 30, 60 and 90 days. Attrition inside the first ninety days is usually an onboarding failure being blamed on selection.

What Is the Difference Between Recruitment and Selection?

Recruitment widens the field and selection narrows it. Recruitment is everything done to attract a pool of candidates — advertising the role, sourcing, employer branding. Selection is everything done to choose from that pool — screening, interviewing, assessment and the offer. They are sequential and they fail differently: weak recruitment leaves you choosing from too few people, weak selection leaves you choosing wrongly from enough.
